Accepted Source Document Formats

Pure English accepts documents in the following formats only:

  • Microsoft Word document (.doc or .docx) – this is the preferred format
  • Rich Text File (.rtf)
  • Plain text file (.txt)
  • Microsoft PowerPoint file (.ppt or .pptx)
  • HTML, XML or other mark-up language file (or links to documents) that can have the text extracted easily as plain text
  • PDF file that allows text to be copied from it
  • Photographs for transcription – these must be in .jpg, .png or .gif format.

For files in plain text, HTML, XML or other mark-up languages, or PDF format, the text is extracted to a Microsoft Word document for editing. For PowerPoint files, only the text is edited.

Photographs are transcribed into a Microsoft Word document only where editing of the text is required. Photographs must be clearly readable. Individual files greater than 100 KB in size will not be accepted.

Reformatting is done only on source documents provided as Microsoft Word documents or Rich Text Files.

References included in documents by reference management software such as EndNote are not edited in the document as the changes may be overwritten when the software regenerates the references. However, any suggested or required changes will be noted.

Whilst we only accept documents in the formats listed here, if you have other source document formats you want us to try to use, please Contact Us and discuss this with us. If possible, we will extract the text from these source files and edit them as described above. There may be a charge for this additional preparation work.
